Job Responsibilities:
  1. Project Documentation: Maintain accurate and up-to-date project documentation, including master schedules, weekly reports, project-specific documentation, and other necessary project-related documents.
    1. Generate and maintain material tracker/master schedule (also need to create one common tracker for use by all PMs)
    2. Update delivery calendar
    3. Update weekly reports (due date assigned by PM).
    4. New project review.  Review cost file for outdated quotes when assigned to a new project (this will be for all projects regardless of PM)
       
  2. Coordination and Communication: Facilitate effective communication and collaboration among project team members, stakeholders, and cross-functional departments. Ensure that all project stakeholders are well-informed about project status, updates, and changes.  Essentially, manage communication between Integration, planning, logistics, and issue resolution upon direction from the PM
    1. Provide feedback to the purchasing team for open POs
    2. In-depth quote guidance to integration.  The expectation is to provide as much detail as possible when submitting a request for integration
    3. Packing Slip review
       
  3. Project Monitoring and Control: Assist in monitoring project progress, tracking milestones, and ensuring adherence to project schedules. Weekly pending submittal review pushed to PM.   APM is responsible for reviewing pending items to ensure no items get overlooked.  Also responsible for reviewing for errors such as items double ordered or mistakenly ordered (such as a PCO 99)
    1. Review for outdated quotes to project price increases/PCOs
    2. Review for discontinued materials
    3. Review for missing components in the cost file (housings, down rods, etc…)
       
  4. Project Planning: Collaborate with the Project Manager to assist in creating project schedules, timelines, and resource allocation plans.
    1. Review and maintain project excess for future purchase orders.
    2. Updating suppliers based on availability based on guidance from project management team.
       
  5. Stakeholder Management: Build and maintain relationships with key project stakeholders, including suppliers, vendors, and internal teams.
    1. Develop relationships with project teams (focus on the importance of repeating customers)
    2. Develop relationships with vendors to better support project requirements.
       
  6. Continuous Improvement: Contribute to process improvements and share best practices to enhance project efficiency and effectiveness.
     
  7. Team Support: Provide support to the internal project team and on-site Project team in the absence of the Project Manager
    1. Stand in for PM in full when on PTO.
    2. Monitor and control when PM is unavailable during travel.
    3. On-site delivery.  Travel to the job site to execute project delivery when requested and coordinated by the PM 
       
Qualifications:
  • Bachelor's degree
  • Excellent personal computer skills – spreadsheet, database, internet, word processing 
  • A self-motivator that is eager to learn and grow 
  • A team player who must be able to work with people from various functions 
  • Excellent communication skills – verbal, written, and presentation skills
  • Willing to travel
